Recording a purchase does three things at once: it adds the units to your product stock, it records what you spent with the vendor, and, if you haven't paid yet, it keeps the bill open until you mark it paid.
Record a Purchase
- Visit redbeltgym.com.
- Sign in to your account.
- Click Setup in the left-side menu.
- Under Products & staff, click Vendors.

- Click Record purchase. You can also click Record purchase on a vendor's page or in the ⋮ menu on their row.

- Choose the Vendor, then enter the Invoice no. and Invoice date.

- Under What did you buy?, click + Add line. Type the item's name as the vendor wrote it on the invoice. Pick it from the list, or add it as a new item for that vendor.
- Click Map to a product, then search for and pick your product (and size or color, if it has them). Leave Remember for future invoices ticked so the item is matched for you next time. If it's a new product, click Create as new product.

- Enter the Invoice qty and Unit cost. The line shows the Line total, and the product shows how its stock will change.

- Repeat for each line on the invoice. Optional: click Attach invoice (PDF or photo) to keep a copy of the invoice with the purchase.
- Check the Subtotal, Tax and Invoice total.
- Choose whether you've Paid, Partly paid or not paid (Unpaid). For an unpaid bill, you can add a Due date.
- Click Save & add to stock.

The units are added to stock, and the purchase shows on the vendor's page.
Pay a Bill
Unpaid bills are totaled in the Unpaid bills card at the top of the Vendors page and in the vendor's Balance due.
- On the Vendors page, click View on the vendor's row.
- On the Purchases tab, find the purchase and click Unpaid.

- Under How much, choose Full amount, or Part of it to record a partial payment and leave the rest open.
- Check the Payment date, choose how it was Paid by, and add an optional Reference.
- Click Mark as paid.

Marking a bill paid only records the payment in Red Belt Gym. It doesn't send money to the vendor.
