The Problem

The Problem: A Pro Shop That Runs on Memory

Whether you run a BJJ academy, MMA gym, karate dojo, or Muay Thai school, you're probably dealing with:

Popular sizes run out before you notice

Vendor invoices live in a drawer, not your books

Fumbling with separate payment systems

Your system is built for general fitness or retail

Why it matters

Stock you can trust is the difference between selling a student the size they asked for and promising to call them back.

Inventory in Red Belt Gym: Know what’s left, down to the size
02

Know what’s left, down to the size

Stock, colors and sizes that keep their own count.

Give a product its colors and sizes and every variant carries its own stock. The product card shows how many of each size are left and how many sold in the last 30 days. A sale takes units out, a restock puts them back, and two staff cannot sell the same last unit at the same moment. Set a low-stock alert per product and the lines running down are easy to spot.

Vendors in Red Belt Gym: Buy from vendors without a second system
03

Buy from vendors without a second system

Purchases, bills and spend beside the products they belong to.

Keep the suppliers you buy from in Red Belt Gym, with what they supply and your purchasing terms. Record a purchase line by line, map each line to your product once and that supplier’s wording is matched for you next time, then save it straight to stock. Mark a bill paid, partly paid or unpaid with a due date, attach the invoice as a PDF or photo, and the vendor’s page shows what you have spent and what you still owe.

Everything Included

Every Tool You Need, In One Platform

Stock by variant

Every color and size carries its own count. Stock goes down on a sale and up on a restock, and an oversell is refused rather than reconciled later.

Low-stock alerts

Set the level per product and see which lines are running down, before the student asking for a size 3 gi hears "not right now".

Vendors and bills

The suppliers you buy from, their purchasing terms and purchase history, and bills marked paid, partly paid or unpaid with a due date.

Product and vendor spend reports

Revenue, units and best sellers on one side; what you paid each supplier, month by month, on the other.

Integrated payment processing

Process merchandise sales through the same system that handles membership payments. One payment processor, one reconciliation.

Automated receipts

Email or text receipts automatically after every transaction. Clean records for you and your customers.

Common Questions About Inventory & Point of Sale

Does the POS work with the existing billing system?
Yes. The POS uses the same PaySimple payment processor as membership billing. One system, one reconciliation.
Does it track stock by size and color?
Yes. Give a product its colors and sizes and each variant keeps its own count, so a medium running out does not hide behind a full rail of larges.
What happens if two staff sell the last one at the same time?
The second sale is refused rather than allowed and reconciled afterwards, so the count stays true to the shelf.
Do I have to type every vendor invoice from scratch?
Only the first time. Map each invoice line to your product once and leave "remember for future invoices" ticked, and that supplier’s wording is matched to your product on the next invoice. You can attach the invoice as a PDF or photo to keep a copy with the purchase.
Can I see what I have spent with a supplier?
Yes. Each vendor page shows total spent, spent this month, average purchase and what you still owe, and the Vendor spend report breaks it down month by month.
