AI Integrations: How Red Belt Gym Connects AI to Your School
Run your martial arts school through AI directly inside your Red Belt Gym CRM. Build automations, read reports, and more.
Use the AI You Already Trust
Red Belt Gym’s AI runs on an AI provider account that you own, not one bundled into your plan. Connect a key from any supported provider:
| Provider | What it’s used for |
|---|---|
| OpenAI | AI Command Center, AI Performance Analysis |
| Anthropic Claude | AI Command Center, AI Performance Analysis |
| Google Gemini | AI Command Center, AI Performance Analysis, AI phone calls |
| OpenRouter | AI Command Center, AI Performance Analysis, access to additional models |
AI phone calls need a key that can do Voice, which is why Gemini is the provider recommended for that job. See setting up AI phone calls.
How it works
- 01
The gym owner adds a key under Setup › Apps & integrations › AI Setup.
- 02
The owner picks which model handles each AI job. You can mix providers, or use one key for everything.
- 03
Keys are stored encrypted, never shown in full again, and never visible to staff.
What it costs
AI usage is billed by your provider. The AI Command Center is available in the Growth plan. Voice requests use transcription credits — see buying credits and viewing credit usage.
Keep your key to yourself
Red Belt Software will never ask for your API key. If anyone claiming to be from Red Belt asks for it, don’t send it.
AI That Works Inside Your CRM, Not Beside It
Many platforms use AI only to write messages or summarize data. Red Belt Gym's AI Command Center works directly with your school's records, so it can find information and prepare real changes.
Reading
Runs right away- Find students who haven’t attended in 30, 60 or 90 days
- Compare this month’s leads with last month’s
- List every membership that is currently frozen
- See whether sales are trending up or down
Changing
Needs your approval- Freeze a member’s membership through a set date
- Create an automation that tags and texts trial students
- Issue a refund
- Delete a record or a user
The AI Command Center can do anything your staff members can do, including sensitive actions like issuing refunds and deleting data or users. Changes are shown first and only run if approved.
Nothing Changes Without Your Approval
The AI Command Center can read and analyze your data instantly, then propose updates without making changes until a staff member gives permission.
How an approval works
- 01
You ask: “Freeze John Smith’s membership through September 30.”
- 02
Red Belt Gym shows the exact change it plans to make, with Approve and Reject buttons.
- 03
You review it and approve.
- 04
The change runs, and Red Belt Gym confirms it is done.
You can open any proposed automation and edit it before publishing. See using the AI Command Center.
Who can use the AI Command Center
-
Gym owners
The gym owner connects the AI key and chooses which staff can use the AI Command Center.
-
Staff members
Each staff member with approval can create and approve their own requests. Requests are limited by the permission of their role.
Access is granted per staff member under Features & AI — see assigning permissions.
A full record of every action
A record of every AI request is shown in the AI Action Log, showing who approved it and what Red Belt Gym changed. See the Key Performance Reports Overview.
Ask Your Business Anything
You don't need a fancy prompt to build a report. Type or speak your request in plain language, and the AI Command Center goes to work.
Example requests:
- “How many leads did we get last month compared with the month before?”
- “Show me all active students who haven’t attended in the last 30 days.”
- “Are our sales trending up or down?”
- “Which memberships are currently frozen?”
Conversations are saved and searchable, so you can come back to an earlier report. Users can also sort through scores and coaching feedback on calls and recordings — see the AI Performance Report and reviewing call recordings and AI analysis.
Built on the Model Context Protocol
Red Belt Gym uses an internal MCP server to connect your chosen AI model to the CRM.
The Model Context Protocol (MCP) is an open standard that connects AI models to Red Belt’s tools in a structured, controlled way, and gives the AI the same permissions as your staff.
- The AI works inside Red Belt Gym, through the AI Command Center.
- It can only do what the requesting user is allowed to do.
- Every change goes through approval and is recorded in the AI Action Log.
Red Belt Gym’s MCP server is internal only. Outside AI apps, such as ChatGPT or Claude desktop, can’t connect to your account directly. To use AI with Red Belt Gym, you add your own AI provider key in Red Belt Gym and work through the AI Command Center.
Connect Other Systems to Red Belt Gym
Gym owners can create API keys to connect third-party apps to a school's data, such as a check-in kiosk or a custom integration.
- Only the gym owner can create and revoke API keys.
- Keys are shown in full only once, when created.
- Revoke a key at any time to cut off access immediately.
To send leads from your website forms or other tools into Red Belt Gym, use an automation webhook — see capturing data with a webhook, or connecting Zapier for the tools it already supports.
